Terms of Service
Template — last updated October 2026. Review with a legal adviser before launch and replace the operator details below.
1. The service
Depozit ("the Service") is a subscription-based, multi-company stock management platform provided by the operator ("we", "us"). By registering a company account you ("the Customer") agree to these terms on behalf of the business you represent.
2. Accounts and security
You must provide accurate company details, keep login credentials confidential and promptly tell us about unauthorised use. You are responsible for the actions of users you invite to your company account and for assigning them appropriate roles.
3. Subscriptions, fees and trials
Access to paid features requires an active subscription billed monthly (or yearly where offered) in advance through Stripe. Prices are shown on the website and in the app and exclude VAT where applicable. A free trial, where offered, converts to a paid subscription automatically at the end of the trial unless cancelled. Plan changes take effect immediately with pro-rated charges or credits. You may cancel at any time; access continues until the end of the paid period. Fees are non-refundable except where required by law.
4. Failed payments and suspension
If a payment fails we will retry it and notify you. After the grace period your account becomes read-only until payment is resolved. We may suspend accounts for breach of these terms, suspected fraud or security risks.
5. Your data
You own the data you enter (products, suppliers, documents, stock records). You grant us a licence to host, process and back it up to provide the Service. AI document processing sends the uploaded document to our AI provider (Anthropic) solely to extract its contents. You can export your data at any time and request deletion of your account; data is retained for 90 days after closure and then permanently deleted, except where retention is required by law.
6. Acceptable use
Do not misuse the Service, attempt to access other customers' data, upload unlawful content or interfere with its operation. Reasonable usage allowances (documents, storage, AI processing) apply per plan.
7. Third-party services
Payment processing is provided by Stripe under Stripe's terms. Epos Now integration uses credentials you provide and is subject to Epos Now's terms; we are not responsible for changes to their API or your Epos Now subscription.
8. Availability and support
We aim for high availability but do not guarantee uninterrupted service. Support is provided through the in-app Help & support form and by email.
9. Liability
The Service is a tool to help you manage stock; you remain responsible for your accounting, tax and regulatory obligations and for reviewing AI-extracted data before approval. To the maximum extent permitted by law our total liability is limited to the fees you paid in the 12 months before the claim, and we are not liable for indirect or consequential loss.
10. Changes and termination
We may update these terms with reasonable notice. Either party may terminate at any time; on termination your access ends at the end of the paid period and your data is handled as described in section 5.
11. Governing law
These terms are governed by the laws of Ireland and the courts of Ireland have exclusive jurisdiction.
